How do I delete a planned work template?

 

If a planned work template is no longer needed, you can delete it directly from the Planned Work Templates area in Settings. This permanently removes the template and any associated schedules that have not yet generated work orders.

Important: You can only delete a planned work template if no work orders have been created from its schedules. If work orders already exist, the system will prevent deletion.

Before You Start

  • You must have the Planned Work Template Manage permission
  • The template must not have any schedules that have already spawned work orders

Steps

  1. Go to Settings from the main navigation menu.
  2. Select Planned Work Templates from the settings menu.
  3. Find the template you want to delete. You can use the search bar or scroll through the list.
  4. Click on the template to open it.
  5. Click the Delete button.
  6. A confirmation prompt will appear. Click Confirm to proceed with the deletion.

What Happens Next

  • If deletion is successful: The template and all of its unspawned schedules are permanently removed. This cannot be undone.
  • If deletion is blocked: You will see a message explaining that the template cannot be deleted because work orders have already been created from one or more of its schedules.

If You Cannot Delete a Template

The most common reason is that work orders have already been generated from the template's schedules. To check this:

  1. Open the template and review its schedules.
  2. Look for any schedules that have spawned work orders.
  3. If work orders exist, the template cannot be deleted.

In this case, consider whether the template can be left inactive rather than deleted.

Good to Know

  • The Delete button is visible on all templates, but the system validates whether deletion is allowed when you click it.
  • Deleting a template does not affect any work orders that were previously created from it - those remain in the system as normal.
  • This action is permanent and cannot be reversed.

Frequently Asked Questions

Can I delete a template if only some of its schedules have generated work orders?
No. If any schedule within the template has spawned a work order, the entire template is protected from deletion.

What happens to historical data if I delete a template?
Any work orders that were previously created from the template are not affected. They remain in the system with their full history. Only the template itself and any future schedules are removed.

Who can delete planned work templates?
Any user with the Planned Work Template Manage permission can delete templates, subject to the conditions above.
