How can I manage recalls on the system?

Recall work orders where work has not been completed to satisfactory levels.

 

Set Up permissions

Without the recall create permission, users will not see the option to Recall or Convert to Recall on any work orders.

- Head to the Settings area and select Roles

- From here, select the Permission Groups tab 

- Find the relevant group you want to add the recall create permission to and select the row

- Find the recall create permission under the work order section and check the box

Set up work order types with recall

 

Please note, this must be done first, in order for the Recall functionality to work.

 

- Head to the Settings area and select Work Order Types

- From here, select the relevant work order type you would like to use for recalls

- Select the field called Available for recall?

- Hit Save

Add recall period to contractor

Contractors who do not have any recall periods set, will not be able to have associated work orders where they are assigned, recalled.

Admin Users

- Head to the contractor view screen

- Select the Billings tab and find the Default Recall Period field 

- Enter the number of days within the field 

- Hit Save

 

Contractor Users

- Head to the contractor profile 

- Select the Billing Settings area

- Select the Billings tab and find the Default Recall Period field 

- Enter the number of days within the field 

- Hit Save

Add recall period to service 

 

Admin Users

- Head to the contractor view screen

- Select the Services tab and find the relevant service 

- Find the Recall period section and select add service specific recall period 

- Enter the number of days within the field 

- Hit Save

 

Contractor Users

- Head to the contractor profile 

- Select the Services area 

- Add a new service and follow the steps in the form

- Once you have reached the Recall Period stage, choose service specific recall period

- Enter the number of days within the field 

- Hit Next to continue with setting up the service 

Recall work order 

 

It's worth noting, you can only recall work orders that are closed, where the work order and contractor type support recalls, and you are recalling within the relevant recall period.

 

- Head to the work order you would like to recall 

- Under the actions wheel, select Recall

- From here, users will see a side pane where they can amend the details of the recall work order that will be created, such as the summary, location, and assets. They can also set a contractor SLA and select a service

- The final field enables you to populate a reason for recalling the work order, which will then be communicated to the contractor

Convert to recall

 

- Find the work order you would like to make a recall

- Select convert to recall under the actions wheel

- From here, use the side pane and filters to find the work order that was recalled

- Hit Confirm to save your choice

- See the toast message appear that the work order has been successfully converted 

Filter for recalls

 

- Head to the work order index screen and select Add Filter

- From here, to see work order with a type of recall, select the Is Recall filter and select Yes 

- To see work orders that have been recalled, choose Has Recalls and select Yes
