Understanding the use of tags and how to add them to sites and work orders.
What are tags?
- Tags can be assigned to entities to give them more detail and make them easier to sort and manage
- All tags have a tag type, which will belong to one of the following: work order, user, site or maintainable entity (anything that lives under a site such as a building or floor space)
- Tags are typically used for work orders, for details that fall outside the normal status of a work order, or they are used for sites, for example to regionalise
- Tags can also be used for user management, as a tag can determine what the user sees, for example, adding a location tag to a site means users with that location tag will be restricted to viewing that specific location
How do I view and manage my tags?
- To view and manage all tags in one place, head to the settings tab and select tabs
- From here, you will see a list of your tags, alongside their respective names
- You can add a new tag by selecting the blue button in the top right-hand corner
- You can amend a tag by selecting the relevant tag, editing the form that appears and hitting save
- Similarly, you can delete a tag by selecting the tag and hitting delete in the top right of the form
How do I view and manage tag types?
- Head to the settings tab and select tab types
- From here, you can add a new tag type by selecting the blue button on the top right-hand corner
- You can amend the tag type name by selecting the tag and editing the form
- You can also delete a tag type by selecting the tag on this page and hitting delete in the top right-hand corner
- It's worth noting, you're unable to amend the entity type once a tag has been created, as this will affect many other things across the site where the tag has been used
Site tags
- These tags can be managed within the site view screen by hitting the actions wheel and selecting manage tags
- You can filter all sites by their tags by adding a tag filter to the site's index page
Work order tags
- These tags can also be managed by selecting the actions wheel from within the work order view screen
- Additionally, you can view all work orders that have been tagged with a certain tag by clicking on the tag name within the work order view screen, underneath the work order heading, such as the 'Waiting for PO' tag below:
- Alternatively, you can filter all work orders using the tag filter at the top of the index page
