How do I disable contractor RAMS?

If a contractor's Risk Assessment and Method Statement (RAMS) is no longer required - for example, if it has been superseded, the scope of work has changed, or the contractor is no longer carrying out the activity it covers - you can disable it. Disabling a RAMS prevents it from being selected for future work while keeping the historical record intact.

Important: Disabling a RAMS does not delete it. The record remains visible for audit and historical purposes, but it can no longer be used against new work orders.

Before You Start

  • You must have the appropriate permissions to manage contractor records or RAMS
  • Confirm that the RAMS is genuinely no longer needed before disabling it, as this will prevent it from being available for selection on future work

Steps

You can disable a RAMS from two places:

Option 1: From the Work Order

  1. Open the work order that the RAMS is associated with.
  2. Navigate to the RAMS management area within the work order.
  3. Find the RAMS you want to disable.
  4. Click the Disable action.
  5. Confirm the action when prompted.

Option 2: From the Contractor Record

  1. Navigate to the contractor's profile.
  2. Select the RAMS tab.
  3. Find the RAMS you want to disable.
  4. Click the Disable action.
  5. Confirm the action when prompted.

What Happens Next

  • The RAMS is marked as disabled and can no longer be selected for new work orders.
  • Any work orders that already have this RAMS associated with them are not affected - the existing association remains in place.
  • The RAMS record is still visible on the contractor's profile and in historical records for audit purposes.

Good to Know

  • Disabling a RAMS is not the same as deleting it. The record is preserved so that you maintain a full audit trail of all RAMS that have been in place.
  • If a RAMS needs to be replaced, disable the old one and create or upload the new RAMS as a separate record.
  • You may want to add a note or comment to the contractor record explaining why the RAMS was disabled, particularly if it is for compliance or audit reasons.
  • If you are unsure whether a RAMS should be disabled or is still required for active work, check with the relevant site or contract manager before proceeding.

Frequently Asked Questions

Can I re-enable a RAMS after disabling it?
The disabled RAMS show in their own area under the contractor RAMS tab. From here, you will see the option to re-enable.

Will disabling a RAMS affect work orders that are already in progress?
No. Any work orders that already have the RAMS associated will continue as normal. Disabling only prevents the RAMS from being selected on future work orders.

Does disabling a RAMS remove it from compliance reports?
No. The RAMS record is retained for historical and audit purposes. It will still appear in historical compliance records and reports.

Who can disable a RAMS?
Any user with the appropriate contractor or RAMS management permissions can disable a RAMS. If you cannot see the Disable option, contact your system administrator to check your permissions.
