How do I manage my compliance submissions?
Upload, Review And Approve Compliance Documents & Submissions.
Uploading a document 📄
- Once a compliance visit is complete, it is time to add a supporting compliance document
- To add this, users can select upload document from the blue actions bar, or head to the compliance tab and select add document from there
Please note, for the option to add document to appear in the actions bar, your compliance workflow must have been set up correctly. If you need any help with this, please get in touch with Support.
- Once you have select upload document, a side pane will appear where you can enter document details such as name, validity periods as well as the status to show whether it has passed, failed or passed with recommendations. You can also link any relevant assets within this form and finally upload the document itself
- Once the document is uploaded, you can add any necessary remedial actions from the actions bar
Reviewing documents & Passing compliance ✅
- Under the compliance area on the navigation, users will see a Docs to review page
- If users don't have this navigation setup, they can access the document submission within the compliance tab on the relevant work order
- Users can then select the relevant submission which will open a side pane with the option to Reject or Approve at the bottom of the panel
- If users choose to reject a document, they will then be asked for a comment as to why
- Once a decision has been made about the document, users will then see the option to pass or fail compliance within the same side pane
Bulk Reviewing 🔍
- Users can bulk review compliance submissions by heading to the compliance documents index
- From here, users can use the checkboxes to select which submissions they want to review and hit review in the top right
- Users will then be shown each submission in succession in a side pane
Remedial Extractor AI 🤖
- If users have the remedial extractor AI turned on, the process of uploading a compliance document will look slightly different
- Here, on the form, users can select whether they would like to use AI to extract any remedial actions if the status of the document was a fail or a pass with recommendations
- Users can then fill in the remaining fields on the form and hit Save, which will then set the AI in motion
- Once the AI has processed the document, users will see a message to confirm this
- If the document had any remedial actions attached that the AI could identify, these will show in their own dedicated tab on the side pane, alongside their priority as determined by the AI
- Users will the relevant permissions can select a remedial action from this tab and amend its details such as priority or status
- When approving or rejecting the document within the side pane, users can also select what they want to do with these actions before moving forward
