This Section Explains How RAMS Are Managed As Part Of The Work Order Process And What Contractors Should Check Before Attending Site.

RAMS are documents that explain how work will be completed safely. They usually include the risks linked to the task, the control measures in place, and the method the engineer or contractor will follow while carrying out the work.

1. Check whether RAMS are required

When reviewing a service request or work order, the contractor admin should check whether RAMS are required before the engineer attends site. This may be shown on the work order, requested by the client, or linked to the type of work being completed.

2. Prepare the RAMS documentation

If RAMS are required, prepare the relevant risk assessment and method statement for the work. The documents should be specific to the task, site, hazards and controls needed to complete the work safely.

3. Upload RAMS to the work order

The contractor admin should upload the RAMS documents against the relevant work order in the contractor portal. Make sure the correct file is attached and that it relates to the job being attended.

Note: Once RAMS have been uploaded, they can be used again for future service requests and works where the same documents are still relevant and valid. They do not need to be re-uploaded each time unless the RAMS have changed, expired, or the client requires a new version for that specific job.

4. Wait for review or approval where required

Some clients may review or approve RAMS before work can begin. If approval is required, the engineer should not proceed until the RAMS have been accepted or the client has confirmed that the work can go ahead.

5. Share the approved RAMS with the engineer

Before the engineer attends site, make sure they understand the RAMS requirements and are aware of any specific hazards, controls, access rules, permits, or site instructions linked to the job.

6. Complete the work in line with the RAMS

Once on site, the engineer should follow the approved method statement and risk controls while completing the work. If the scope changes or new hazards are identified, the engineer should stop and escalate before continuing.

Tip: Some clients do not require RAMS to be uploaded or approved before work starts. This depends on the client setup, job type and site requirements, so always check the work order and follow the process shown for that client.
