What's New At Expansive This Month?
Automated Cost Approval for Consolidated Invoicing
We’ve added a new feature to support automatic approval of contractor costs for organisations using consolidated invoicing cycles.
Users can now:
- Create auto-approval policies
- Apply policies to organisations
- Automatically approve submitted costs when defined conditions are met
Additional improvements include:
- Activity log tracking for passed and failed auto-approval checks
- A new work order filter for failed auto-approval items, making manual review easier when required
Contractor Rate Management Enhancements
Contractors can now manage their own rates directly within their profile.
This update introduces:
- A dedicated Rates section for adding and managing rates
- Editable rate fields within the Services area for updating service-specific pricing
These improvements provide greater flexibility and control over contractor pricing.
Improved Attachment Sharing for Contractors
The Assign Service workflow has been enhanced to simplify collaboration with contractors.
Users can now choose to share attachments directly with contractors. When selected, the system automatically generates secure attachment links that are included in contractor emails.

New Compliance Calendar Status Indicator
We’ve introduced a new amber status colour within the Compliance Calendar.
This status highlights closed work orders that are missing a compliant date, helping users quickly identify records that may require attention.

Faster Access to the Knowledge Base
The Account Settings area now includes a direct link to the Knowledge Base, making it quicker and easier for users to access support documentation and guidance.

Enhanced Parts Order Visibility
We’ve improved the Parts Order view to provide better visibility and tracking. Users can now view additional information including:
- Cost codes
- Estimated time of arrival (ETA)
- Ownership details
This makes it easier to manage parts orders and monitor progress in one place.
New Remedial Action Work Order Filter
The Work Order Index has been improved with a new filter option for Remedial Action work orders.
This allows users to quickly locate and manage this specific category of work.
Improved Work Order Abandonment Process
When abandoning a work order, any associated declined quotes will now include the abandonment comment reason.
This provides clearer context and improves visibility for all affected parties.
Quote Expiry Status Improvements
Quotes now automatically move to a new Expired status once the configured expiry date has passed.
With this update:
- Expiry activity is recorded in both Work Order and Quote Request activity logs
- Users can no longer submit quotes after expiry
This helps ensure quote activity remains accurate and up to date.
