Submitting costs
This Section Explains How To Combine And Submit Your Costs Once Work Has Been Completed.
- Access your dashboard: Open your Expansive dashboard and locate the Costs to Submit tile. This shows how many work orders are ready for cost submission.
- Open the work order list: Click the Costs to Submit tile to view completed work orders ready for billing.
- Select a work order: Open the work order you want to submit costs for, navigate to the Costs section and confirm the billing status is marked as Draft.
- Review pre-populated costs: Check any automatically calculated entries, such as call out and labour, which may be based on engineer time logs and rate cards.
- Verify time logs: Check the Time tab to ensure visit durations match the costs shown in the Cost tab.
- Add extra expenses if needed: In the Cost tab, select Add Cost, choose a cost type, add a description, quantity and amount, then save.
- Stay within the spend limit: Ensure the total cost does not exceed the spend limit displayed at the top of the screen.
- Request an uplift if needed: If costs exceed the spend limit, select Spend Limit, choose Request Uplift, enter the proposed new limit and reason, then save. The request will be sent to your client for review and approval.
- Submit for review: Once all costs have been added and reviewed, select Submit for Review. The billing status will change to Submitted and your client will be notified.
- Confirm submission: The submitted work order will disappear from the Costs to Submit tile, confirming successful submission.
