Submitting invoices

This Section Explains When And Where To Submit Invoices After Costs Have Been Approved.

Best practice: Where available, use AI invoice upload as the preferred way to upload invoices. This helps read key invoice details from the document and can make the submission process quicker and more accurate. If you do not see the AI invoice upload option, ask your client to switch this feature on for your contractor account or client setup.

  1. Wait for approval notification: Once your submitted costs have been approved, you will receive an email notification confirming that you can upload your invoice.
  2. Access the invoice section: From your Expansive dashboard, select Invoices. This section shows jobs that are ready for invoicing.
  3. Identify consolidated invoices: If multiple work orders are grouped together, they will be shown as a consolidated invoice in the list.
  4. Select a job and begin submission: Select the relevant row from the list and click Upload and Submit Invoice.
  5. Enter invoice details: Input the invoice value excluding tax. The value must match the approved amount exactly. If it does not, you will receive an error and must correct the discrepancy before proceeding.
  6. Add invoice metadata and attachment: Provide the invoice reference number, invoice date and invoice document attachment.
  7. Submit the invoice: Click Save to complete the submission. Your invoice will then be reviewed by your client.
  8. Make corrections if needed: If an amendment is required after submission, use Replace Invoice Attachment to upload an updated file.
  9. Review supporting information: On the invoice upload screen, you can also review the invoice address, invoice instructions and associated work orders.
