What is an external work order form and how do I create one?

An external work order form is a work order request form that is completed by a requester who doesn't have a log in to Expansive FM.

 

- External Work Order forms can be made accessible via a QR code poster. The posters can be downloaded from the site management screen (Under the Print and Codes tab)

- If using the poster, a requester simply scans the QR code to be taken to a form to raise a new work order. By using the poster, the site field will be automatically populated for ease.

- To view External Work Order forms navigate to Settings from the left-hand menu, then select External Work Order Forms 

- You can add a form by clicking the blue button in the top right-hand corner of the External Work Order Forms screen and filling in the relevant fields 

- Within the form settings, the access token forms part of the forms URL.

Access Token: If you add demo as the access token, the form url would be something like  mycompany.expansivefm.net/external/work-order-form/demo


- Each external work order form requires a request type

- You can limit the external form to only be applicable for certain sites 

- Should you choose to enable priority selection, it's worth noting that this must also be enabled. If this isn't enabled, please speak to your account manager. 

- By selecting the 'Allow Request Type Selection' box, you will give requesters the option to select a request type. This can be helpful when looking to automate requests and help determine the workflow a work order follows.

- If you would like to notify the requester that you have received their request upon them completing the external work order form, there is a notification section you can enable when creating the external form that allows you to customise the response that is sent.
